Part A: Car Rental Terms and Conditions

2. Reservations and Rental Agreements

A reservation is considered confirmed only after you receive written confirmation from Crete Island Rentals.

The booking confirmation contains the main details of your reservation, including:

The final rental agreement is completed when the vehicle is delivered. Where the booking confirmation and the signed rental agreement contain more specific conditions, those conditions will apply to the rental.

You must check that all information supplied during booking is complete and accurate. Crete Island Rentals may refuse or cancel a rental when the information supplied is false, incomplete or inconsistent with the documents presented at pick-up.

3. Driver Requirements

Unless different conditions are confirmed in writing, the main renter and every additional driver must:

Driving licences issued by an EU or EEA country are generally accepted.

A licence issued outside the EU or EEA may need to be accompanied by an International Driving Permit, particularly when the original licence is not written in Greek or Latin characters. The renter is responsible for checking whether an International Driving Permit is required.

Only drivers recorded and approved in the rental agreement may drive the vehicle.

We may consider requests from drivers who do not meet the standard age or licence requirements. Approval is not guaranteed and additional fees, insurance conditions or a security deposit may apply.

4. Additional Drivers

One additional driver may be included without an additional charge, provided that the driver:

Further additional drivers may be subject to a daily charge. The applicable charge will be communicated before the rental begins.

Allowing an unauthorised person to drive the vehicle may invalidate the insurance coverage and make the renter responsible for all resulting loss or damage.

5. Vehicle Categories and Substitution

Reservations are normally made for a vehicle category rather than for a guaranteed make, model, colour, engine size or transmission unless this is expressly confirmed in writing.

We will make every reasonable effort to provide the selected vehicle. When that vehicle is unavailable because of maintenance, damage, a delayed return or another operational reason, we may provide:

A vehicle from a lower category will only be supplied with the renter’s agreement and an appropriate price adjustment where applicable.

6. Rental Period

The rental period begins and ends at the dates and times shown in the rental agreement.

The minimum rental charge is one day, even when the vehicle is used for less than 24 hours.

Rentals lasting more than 30 days may require a renewed or extended rental agreement.

The renter may not keep the vehicle beyond the agreed return time without prior written approval. Extension requests should be made as early as possible and preferably at least 48 hours before the scheduled return.

An extension is valid only after it has been approved by Crete Island Rentals and recorded in an updated rental agreement.

7. Rental Prices

Unless otherwise stated in your booking confirmation, the rental price may include:

Delivery, collection, airport service, out-of-hours service, additional equipment and special-location charges may vary according to the reservation.

Any applicable charge will be shown during booking or communicated before confirmation.

8. Payment and Security Deposit

Accepted payment methods may include:

The available payment methods may depend on the booking channel, rental location and time of payment.

Unless your booking confirmation states otherwise, payment is due before or at the beginning of the rental.

A security deposit is not normally required for standard bookings. However, we may request a payment card, pre-authorisation or refundable security amount when:

We will always communicate such a requirement before the vehicle is delivered.

9. Fuel Policy

Vehicles are supplied under a same-to-same fuel policy.

The renter must return the vehicle with approximately the same fuel level recorded at delivery.

When the vehicle is returned with less fuel, the renter may be charged:

No refund is normally provided for fuel left above the delivery level.

The renter is fully responsible for using the correct fuel type. Damage caused by filling the vehicle with the wrong fuel is not covered by standard insurance.

10. Pick-Up and Return

The renter must arrive at the agreed place and time with all required original documents.

At delivery, the renter should inspect the vehicle together with our representative and confirm the recorded condition, including:

Existing damage should be recorded in the rental agreement or vehicle-condition report.

The renter must return the vehicle:

11. Late Pick-Up and No-Show

Customers should notify us immediately of any delay.

Where no update has been provided and the renter does not arrive within two hours of the agreed pick-up time, we may treat the reservation as a no-show and release the vehicle.

A no-show or administration charge may apply where stated in the booking confirmation.

When flight information has been supplied, we may use publicly available flight information to monitor delays and organise delivery. Flight monitoring does not remove the renter’s obligation to notify us of significant itinerary changes.

12. Late Return

The renter must contact us immediately when a delay is expected.

Returning the vehicle more than one hour after the agreed time without approval may result in a late-return charge.

Depending on the length of the delay, the renter may be charged:

Insurance protection may no longer apply after the agreed rental period unless the extension has been approved and recorded.

13. Cancellation and Booking Changes

Cancellation and amendment requests must be sent by email to:

[email protected]

A cancellation is complete only after you receive confirmation from us.

Any cancellation charge or refund will be determined according to:

When a booking was made through a travel agency, broker or third-party platform, the customer must normally request cancellation through that provider, and the provider’s cancellation rules may also apply.

We may cancel or modify a reservation when the vehicle cannot be provided because of an accident, mechanical failure, safety concern, incorrect booking information, force majeure or another event outside our reasonable control.

Where possible, we will offer a replacement vehicle, alternative date or appropriate refund.

14. Permitted Use of the Vehicle

The renter must use the vehicle carefully, lawfully and according to the manufacturer’s instructions.

The vehicle may not be used:

The vehicle may not be transported by ferry without our express written authorisation.

Use of the vehicle in violation of this section may result in immediate termination of the rental agreement and loss of insurance protection.

15. Restricted Roads and Areas

Some areas of Crete may only be reached through roads that are unpaved, unsuitable for ordinary rental vehicles or excluded by insurance providers.

The renter must follow signs, local restrictions and any route instructions provided by Crete Island Rentals.

Damage occurring on an unauthorised, unpaved or unsuitable road may be charged in full to the renter, including recovery and towing expenses.

16. Insurance Coverage

The insurance included with each rental is identified in the booking confirmation and rental agreement.

Coverage may include, depending on the selected plan:

Insurance coverage is subject to the conditions, limits, excess amount and exclusions stated in the rental agreement and the insurer’s policy.

The words “full insurance”, “zero excess” or similar descriptions do not mean that every possible incident, item or form of negligence is covered.

17. Insurance Exclusions

Unless expressly included in writing, insurance will normally not cover loss or damage resulting from:

The renter may be charged for any uninsured damage, loss, recovery cost, loss of use or related administration expense.

18. Accidents, Damage and Theft

In the event of an accident, damage, fire, theft or attempted theft, the renter must:

  1. Stop safely and protect passengers and the vehicle;
  2. Contact Crete Island Rentals immediately;
  3. Contact the police or emergency services when required;
  4. Avoid admitting liability or agreeing to private compensation;
  5. Record the names, contact details and registration numbers of other parties;
  6. Take photographs where it is safe to do so;
  7. Complete any accident or insurance report requested;
  8. Follow all instructions given by Crete Island Rentals or the insurer.

Failure to report the incident promptly or provide the required documentation may invalidate insurance coverage.

19. Breakdown and Roadside Assistance

Roadside assistance is available for covered mechanical breakdowns and incidents.

The renter must contact Crete Island Rentals before arranging independent repairs, towing or roadside services.

Roadside assistance may not cover problems caused by the renter, including:

Charges arising from renter error or excluded use may be payable by the renter.

A replacement vehicle may be provided following a covered breakdown, subject to availability and the circumstances of the incident.

20. Traffic Fines and Administrative Charges

The renter is responsible for all:

arising during the rental period.

When a fine or request for driver information reaches us after the rental, we may provide the renter’s information to the competent authority where legally required.

We may charge the renter for the fine or expense, together with a reasonable administration fee and any applicable taxes or bank charges.

21. Keys, Documents and Accessories

The renter is responsible for all items supplied with the vehicle, including:

Loss or damage may be charged according to the actual replacement or repair cost, together with any reasonable administrative expense.

22. Child Seats and Additional Equipment

Baby seats, child seats and booster seats may be supplied free of charge when requested.

All equipment is subject to availability and should be requested in advance.

The renter is responsible for:

23. Pets

Animals are not permitted in a rental vehicle without prior approval.

Where permission is granted, the renter must protect the interior and return the vehicle clean and free from hair, odour, stains and damage.

Additional cleaning or repair charges may apply.

24. Vehicle Cleanliness

Vehicles are delivered clean and should be returned in a reasonable condition.

Normal dust from ordinary road use is acceptable. However, an additional cleaning charge may apply for:

Where specialist cleaning is required, the charge may start from €70 and may increase according to the actual cleaning or repair cost.

Smoking is not permitted inside the vehicle.

25. Personal Belongings

Crete Island Rentals is not responsible for personal belongings left, lost, damaged or stolen from the vehicle, except where liability cannot legally be excluded.

The renter should always lock the vehicle and avoid leaving luggage, money, documents or valuable items visible inside it.

26. Termination of the Rental

We may terminate the rental and recover the vehicle when the renter:

Recovery expenses and any related loss or damage may be charged to the renter.

27. Force Majeure

Crete Island Rentals will not be responsible for a delay or failure caused by events outside our reasonable control, including:

We will make reasonable efforts to provide an alternative solution where possible.

28. Governing Law and Disputes

These terms are governed by Greek law, without limiting any mandatory rights available to consumers under applicable EU or national legislation.

Customers should first contact us at [email protected] so that we can attempt to resolve any complaint directly.

Where a dispute cannot be resolved amicably, it will be submitted to the competent courts, subject to any mandatory consumer-jurisdiction rules.
